What happens with your personal data?

Let's Talk Science collects the personal data of researchers or staff connected to the institutions Ghent University, Hasselt University, KU Leuven, University of Antwerp, Vrije Universiteit Brussel and the University of Applied Sciences and Arts who wish to apply for an account and/or to participate in the different lectures and workshops offered by Let's Talk Science. These data will only be used by the organising institutions and will be used to provide participants with information about the event and its future activities.

What data will be collected?

Data is collected when potential participants apply for an account through the Let's Talk Science website. The following data will be requested:

- Login details

- Institution to which the researcher is affiliated

- First name

- Last name

- Email address

- Association

- Status (PhD student, postdoc, ZAP, ATP, other)

- Staff number

Before submitting the account request, potential participants should indicate that they have taken note of the privacy policy.

For what purpose are they collected and on what basis?

Personal data will be collected only after submitting the account application from potential candidates. Before submitting the account request, potential participants should indicate that they have taken note of the privacy policy. Data will be deleted when requested by (potential) candidates.

Retention period

Personal data is kept for a period of 5 years unless a (potential) participant indicates to delete it earlier.

Transfer of personal data

Personal data will be shared between the organising institutions. Limited data such as lists of names and email addresses are shared with the workshop organisers associated with the event. Data will not be transferred to third countries.

Rights of data subjects

(Potential) participants have the right to request, amend or have personal data deleted.
